Creating continuity programs for your clients is a great way for you to connect with them everyday and offer more advanced and personal training. A great way to do this is through social media, in particular, Facebook groups. Whether you have 10 people or 100 people, operating one of these groups can be quite a daunting task to handle on your own as a business owner. By hiring a virtual assistant, you will be able to spend more time interacting with your clients and less time worrying about the behind the scenes items. Here are some ways that you can save some time and keep your group running smoothly.
If your group runs month to month with new members being added, if personal information is being shared, you don’t want to leave that up for a new set of people to see. As each month ends, assign your virtual assistant to ‘scrub or erase’ the wall and get rid of every item and question that was written for that month. Depending on the amount of activity, this could take well over an hour or more to do. As they are going through, they can collect any testimonials and put them into a file for you so that you can use them in your newsletter or on your blog. Same with any FAQ’s.
Another great thing they can do is help you to answer questions. You definitely want to be in there yourself several times a day, but depending on the amount of people, you can have your virtual assistant check in as well for questions that may need answered, files that clients can not find or anything that will get an answer to your clients faster. They can also create and upload files for your clients to easily access. By having another person in the group they can be like your second brain and watch for anything that you may have missed or forgotten and take care of it for you.
Just as you may have your virtual assistant schedule your social media posts, you can also assign your virtual assistant the task of scheduling posts that go specifically to your group. Maybe it is a daily motivational quote, inspiration, pictures or anything else that you can have ready to go. This is a great way for your clients to start each day by seeing interaction from you right at the beginning.
As your rotate clients in and out of your groups it is very easy to overlook adding people in the group or taking them out if they don’t continue. If you give your assistant a list or people to remove or add, that will save you time and will allow you more time to find new clients to bring in. This is also a great opportunity for you to have emails sent out or even have handwritten notes sent to clients that have been part of the program for X amount of months. This task can also be tied to removing those same people from any website membership site you have through a plugin like Wishlist Member.
The possibilities are endless and you may have other tasks that work best for you based on the type of business you have and the way your group operates.
